Ongoing technology and marketing coordination
Technology coordination.
With a named owner.
We coordinate website, reporting, marketing and vendor work alongside your practice team. See what is moving, what is waiting and who needs to make the next decision.
Is this the right starting point?
For recurring work that stalls between teams or vendors: website approvals, reporting questions and requests without a clear owner. Start directly with coordination; no prior project or assessment is required.
What the engagement produces
What we deliver.

-
A responsibility and contact register
Record the agreed systems, account owners, vendor contacts and escalation paths. Your practice retains ownership and chooses the access and decisions it delegates.
-
A shared work register
Track included requests with an owner, priority, status and next action. Separate blocked work and new project requests so that agreed capacity stays visible.
-
A reporting and review cadence
Review agreed administrative and marketing measures with their definitions, sources and limitations. Record decisions and follow-up actions; unexplained numbers remain questions to resolve.
-
Documented vendor handoffs
Coordinate approved requests, record vendor responses and identify dependencies. Keep an understandable history so a staff change or contract transition does not erase context.
How the work moves forward
Agree. Review. Hand over.
-
Name the responsibilities
Agree the included work, monthly capacity, contacts, service hours and response targets. Identify which decisions need practice or vendor approval.
-
Establish the working rhythm
Set up the work register and review schedule. Confirm access arrangements, reporting definitions and how urgent issues reach the appropriate owner.
-
Review and adjust
Review completed work, open items and capacity at the agreed cadence. Changes to responsibilities or larger projects receive a separate scope decision.
Before the proposal
Planning the work
with your team.
What your team brings
Bring your recurring priorities, existing agreements, vendor contacts and available reporting definitions. Name an approver who can resolve competing requests. Your team supplies accurate inputs and authorizes vendor discussions; required access is arranged through an agreed secure process, never through the public inquiry form.
Acceptance and handoff
Each included task has an agreed completion condition. The review records completed items, evidence, exceptions and next owners. At transition or closeout, we hand over the current work register, documentation and open dependencies, and follow the agreed access-removal process.
What needs a separate agreement
Coordination does not transfer clinical or practice-management authority. It does not include unlimited development, round-the-clock incident response or every vendor charge. Production changes, patient-data access and campaign spending require the specific authorization, scope and safeguards agreed for that work.
How fees are agreed
A fixed recurring fee is quoted for defined responsibilities and monthly capacity. The agreement names service hours, response targets and review arrangements. New implementation projects, extra capacity and third-party charges are separately identified and approved.
