Healthcare consulting / Practice Systems Assessment

Know what to fix.
Know who owns it.

Websites, intake, vendors and reports should help your practice run. Start with one workflow and leave with a clear picture, named decision owners and a plan your team can use.

For single-site and growing medical practices. We work with your existing team and vendors.

What you take away

A plan that survives
the next meeting.

Useful documentation, a walkthrough and clear next steps. Implementation is quoted separately when you are ready. You can also start directly with implementation or ongoing coordination.

01

Know what you have.

A register of the systems, vendors and account responsibilities in the agreed workflow. Missing information stays visible.

02

See where work gets stuck.

A current workflow map and findings tied to dated evidence. We distinguish observations from questions that still need an answer.

03

Give each decision an owner.

A prioritized 30/60/90-day plan with named approvers, dependencies and implementation options. Your team decides what happens next.

Start where it matters

One question.
A useful first step.

Choose the administrative problem your team already wants to solve. The starting scope includes up to four 45-minute stakeholder interviews.

  • Website to front desk

How do business inquiries move from the website to the right office, and who checks the handoff?

  • Vendor and access responsibilities

Who owns the accounts, renewal dates and recovery decisions when vendors or staff change?

  • Operational reporting

Can your team trace an administrative report to agreed definitions and explain the exceptions?

How the engagement works

Agree the scope.
Then do the work.

  1. Before kickoff

    Define the problem

Choose one workflow, agree the systems and locations, name the approvers and confirm the inputs.

  2. Review

    Follow the evidence

Review materials your team prepares and observe demonstrations your team operates.

  3. Handoff

    Make the plan usable

Walk through the findings, agree open questions and deliver an editable register with implementation options.

Your practice keeps the decisions.

The assessment does not authorize production changes, transfer management authority or include clinical review. Patient records are excluded from the starting scope. Any additional work, access or ongoing support is agreed separately.

A few practical questions

Before we begin.

What does the starting scope cover?

One named administrative workflow, up to three locations and six named systems or vendors, with up to four 45-minute stakeholder interviews. Your proposal confirms the inventory, evidence, deliverables and exclusions. A larger or different scope is quoted separately.

How long does it take, and what does it cost?

Plan for two to three weeks to the initial assessment pack and walkthrough after the agreed inputs, authorization and kickoff are in place. Client review and corrections can extend final closeout. We quote a fixed fee for the named scope before work begins. Missing evidence, additional systems or new requirements can change the schedule and require an agreed scope change.

Will you need access to patient records?

Patient records are excluded from the starting assessment. We use stakeholder interviews, approved configuration information and suitable aggregate operational information. For the base review, your team prepares the materials and operates agreed synthetic demonstrations. We do not log into live systems or submit live forms. Do not send patient information or credentials through this website or by email. Any work needing patient information requires a separately agreed scope and the appropriate agreements and safeguards first.

Does this include fixing the systems?

The assessment gives you findings, named decision owners, a prioritized plan and implementation options. It does not authorize production changes. You can give the plan to your existing team or ask us to quote specific implementation work. Any ongoing support is a separate agreement.

Can you work alongside our IT and practice teams?

Yes. The assessment identifies who owns each decision and works with the people and vendors your practice authorizes. Clinical care, clinical product choices, coding and other professional decisions remain with the appropriately qualified practice personnel. The assessment is not a legal opinion, clinical review or compliance certification.

Who provides the assessment?

Modern Labyrinth is the client-facing brand of Three Teeth, Inc. The proposal names the delivery lead, the client approver and any participating specialists. The assessment is a defined consulting engagement; it does not transfer practice ownership or management authority.
